The short version

  • We’re an outsourced admin team on a flat monthly fee. You stay the business, the creditor and the one your clients deal with.
  • Quotes, invoices, reminders and posts are drafted from your prices and job details, and a person on our team checks every message before it goes out in your name.
  • Your clients pay you directly. We never hold money, take a cut of what you’re owed, send letters of demand or give legal, tax or BAS advice.
  • No lock-in contract. Cancel any time and your plan runs to the end of the month you’ve paid for.
  • Your website, domain, Google Business Profile and Xero records are yours to keep when you leave.

1. About these terms

These terms are an agreement between you and Tradie Quo (“we”, “us”, “our”). They apply when you sign up for a Tradie Quo plan and when you use this website. By signing up, you agree to them on behalf of your business.

Our services are for businesses, not for personal or household use. If you sign up, you confirm you’re authorised to agree to these terms for your business.

If anything in a written proposal or onboarding agreement we give you conflicts with these terms, the signed document wins for that point.

2. What we do

Depending on your plan, we provide some or all of the following, as described on our services and pricing pages:

  • Get Paid: quoting, deposit requests and invoicing, payment reminders, and written variations that your client signs before extra work starts.
  • Get Found: Google review requests, managing your Google Business Profile, and a simple website on your own domain.

We draft each message from the job details and prices you give us. A person on our team checks it before it sends. Messages go out in your business name, from a number and email address set up for your business.

Plan limits apply. Get Paid includes up to 30 quotes and 30 invoices a month. If you regularly go over, we’ll talk to you about it before charging anything extra.

3. What we don’t do

To keep things clear for you and your clients:

  • We’re not a debt collection agency. We send reminders in your name on a flat fee. We don’t take a percentage of what you’re owed, send letters of demand, or start tribunal or court action. If a debt needs that, we can refer you to a licensed provider.
  • We never hold money. Your clients pay you directly, into your own account or payment provider.
  • We don’t give legal, tax, financial or BAS advice, and we don’t do bookkeeping for a fee. Talk to your lawyer, accountant or a registered BAS agent for those.
  • We don’t guarantee results. We can’t promise that a client will pay, that you’ll get a certain number of reviews, or that you’ll rank or get leads on Google. We don’t run paid ads.

4. Your responsibilities

You run your business and stay responsible for it. That means you agree to:

  • Give us accurate prices, job details and client contact details, and tell us promptly if something changes or a client pays you outside Xero.
  • Check the quotes and variations we prepare when we ask you to, and reply before they go out.
  • Hold the licences, insurance and registrations your work needs, and make sure your contracts, deposits and variations meet the law that applies to you, including the Home Building Act 1989 (NSW) where it applies.
  • Only give us details for clients you’ve done or quoted work for, and have their permission for us to contact them for you about that work.
  • Tell us straight away if a client disputes a job, asks us to stop contacting them, is in hardship, or is otherwise vulnerable, so we can pause reminders.
  • Not ask us to send anything misleading, harassing or unlawful.

You authorise us to act as your agent to send quotes, invoices, reminders, review requests and posts in your business name, within the services you’ve signed up for.

5. How we contact your clients

We follow the ACCC and ASIC debt collection guideline in every reminder and call: reasonable times, a reasonable number of contacts, and a respectful tone. The usual schedule is a text and email on day 1, an email on day 7, a text and email on day 14 and a phone call on day 21 after the due date. After day 21, you decide what happens next.

Review requests and other marketing messages include our name for your business and an easy way to opt out. We send review requests to every client whose invoice is paid, not only the happy ones, because Google doesn’t allow selective requests. If a client replies unhappy, we pass it to you first.

6. Xero and other services

We connect to your Xero organisation with your permission, so quotes, invoices and payments are created in your own books. You can disconnect Tradie Quo from Xero at any time, but most of our services will stop working if you do.

We also rely on other providers to deliver the service, such as our hosting and email provider, the software we use to draft messages, our SMS and phone providers, an e-signing provider and Google. Their own terms may apply to parts of the service, and we’re not responsible for outages or changes on their side that we can’t control. Our privacy policy lists who handles your data.

7. Fees and payment

  • Plans are billed monthly in advance. All prices are in Australian dollars and exclude GST, which we add to your invoice.
  • Founding rates stay the same for as long as you keep the same plan without a break, unless we agree otherwise in writing.
  • We can change our prices by giving you at least 30 days’ notice by email. If you don’t want the new price, you can cancel before it starts.
  • If a payment fails, we’ll let you know. If it’s still unpaid after 14 days, we may pause the service until it’s sorted.
  • We don’t charge success fees, commissions or a percentage of any money you recover.

8. Cancelling and leaving

There’s no minimum term and no exit fee. You can cancel any time by emailing us. Your plan runs to the end of the month you’ve already paid for, and we don’t refund part months unless the law requires it.

When you leave:

  • Website: the domain is registered in your business name and the site is yours. We’ll hand it over for you to host, or keep hosting it for $25 a month ex GST if you’d like.
  • Google Business Profile: you own it. We’ll remove ourselves as a manager.
  • Xero: everything we created is already in your own Xero. We’ll disconnect our app.
  • Phone numbers: the business numbers we set up for sending texts are leased by us and retire when you leave. We’ll give you notice so you can let clients know your normal contact details.
  • Open jobs: we’ll stop sending new messages at the end of your last paid month and send you a list of anything still in progress.

We can end or pause your service if you seriously breach these terms (for example, by asking us to send unlawful messages) or don’t pay, by giving you notice. If we stop offering the service altogether, we’ll give you at least 30 days’ notice and refund any fees you’ve paid in advance for the time after that.

9. Who owns what

Your business name, logo, prices, job photos, client list and content belong to you. You give us permission to use them to deliver the service while you’re a client, including posting job photos to your Google Business Profile and website.

Our templates, systems, software and know-how belong to us. The finished quotes, invoices, website pages and posts we create for you are yours to keep and use.

We don’t use your data or your clients’ data to train any software, and we don’t sell it.

10. Our responsibility to you

Nothing in these terms excludes rights you have under the Australian Consumer Law that can’t be excluded. If our services don’t meet a consumer guarantee, we’ll fix the problem or refund the fees for the affected service, as the law allows.

Otherwise, and as far as the law allows:

  • We take care to get things right, and we’ll correct any mistake we make as soon as we know about it.
  • We’re not responsible for loss caused by inaccurate information you give us, by a provider outside our control, or by a client who doesn’t pay.
  • We’re not liable for indirect or consequential loss, such as lost profits or lost jobs.
  • Our total liability to you is limited to the fees you paid us in the three months before the claim arose.

11. Using this website

The information on this website, including our blog, is general information for NSW tradies. It isn’t legal, tax or financial advice, and it may not fit your situation. Laws change, so check with a professional before relying on it. You may share links to our pages, but please don’t copy our content or designs without asking.

12. General

  • We may update these terms. If a change affects your plan, we’ll email you at least 30 days before it applies. The date at the top shows when they last changed.
  • If there’s a dispute, let’s talk first. Email us and we’ll try to sort it out within 30 days.
  • These terms are governed by the law of New South Wales, Australia.
  • If any part of these terms can’t be enforced, the rest still applies.
