Get Paid · Service 3 of 7

Overdue invoices, chased politely and on time.

Every overdue invoice gets the same calm, firm rhythm, in your name. We check your Xero before every message and stop the second it’s paid.

In short

When an invoice goes past its due date, we send an SMS and email on day 1, an email on day 7, an SMS and email on day 14, and someone on our team phones the client on day 21. Every message is checked by a person, sent in your name and follows the ACCC and ASIC debt collection guideline. After day 21, you decide what happens next.

The chase schedule

    Phone
  6. After

    You decide

Wait, agree a plan, or we refer you to a licensed partner. We don’t send letters of demand.

Days count from the invoice due date. Payment at any point stops the sequence.

Step by step

What happens around every chase

  1. 01

    Invoice passes its due date

Xero tells us it’s unpaid. The chase plan starts the next day.

  2. 02

    Xero checked first

Before every reminder we re-check Xero so a fresh payment never gets chased.

  3. 03

    Reminder drafted and checked

Short, polite and specific. A person reads it before it sends.

  4. 04

    Replies handled

Promises to pay are logged. Disputes come straight to you.

  5. 05

    Day 21 call

A real person calls to agree a payment date or plan.

  6. 06

    You decide what’s next

Wait, agree a plan, or we refer you to a licensed partner.

Good to know

The details that matter

Inside the rules

Calls happen between 7:30am and 9pm on weekdays and 9am to 9pm on weekends, never on public holidays. We keep contact to what’s needed, in line with the ACCC and ASIC guideline.

Not a collection agency

You stay the creditor and messages go out in your name. We charge a flat fee, never a percentage of what we recover, and we don’t send letters of demand.

Already paid? No awkward chase

Bank transfers can take a day to show in Xero, so every reminder says “if you’ve already paid, thanks, please ignore this”.

When it’s a dispute

If a client says something’s wrong with the work, we stop chasing that invoice and pass it to you the same day.

FAQ

Questions about payment chasing

All questions

Is this debt collection?

No. We’re your admin team sending reminders in your name for a flat fee. We don’t buy debts, take a commission or take legal action. If you need that, we refer you to a licensed partner.

What if the client disputes the work?

We stop chasing and pass the reply to you. You know the job, so you’re the right person to sort it out.

What happens after day 21?

You decide. Common next steps are a written payment plan, a letter of demand from a lawyer, or a claim in the NSW Local Court’s Small Claims Division for debts up to $20,000. We can refer you to a licensed partner.

Will chasing upset my clients?

Our messages are short, polite and factual. Most late payers just forgot, and a clear reminder with a pay link is usually all it takes.
